How we collect information 

International Solid Waste Association is a membership-based organization, therefore ISWA collects data vital to managing its member database.  

ISWA also collects data used specifically for promotional purposes (Newsletter), access data for the Knowledge Base portal, and website cookies to provide seamless website experience to the visitors of all the websites under ISWA brand. 

Types of personal data collected 

ISWA currently collects the following types of data: 

  • Member-specific data
  • Marketing-specific data
  • Processes-specific data 

Member-specific data

As ISWA Member, you will be asked to provide personal data, contact address, payment details, as well as means of contact such as e-mail and telephone. ISWA uses this data to determine your eligibility for ISWA membership, maintain a database of members and contact you in special cases.  

You will occasionally receive e-mails related to your membership as well as notifications of benefits that come with your ISWA Membership, which include but are not limited to emails about events, discounts, updates on your membership, opportunities etc. 

How do we store this data 

Membership data at ISWA is stored on systems managed by an external IT company, which acts as data processor and operates in agreement with data policies established by ISWA. ISWA makes sure that your data is stored and managed in accordance with the EU Data Protection laws and that any third party handling your data implements all technical measures necessary on an ongoing basis to keep your personal data secure.  

How long do we store this data

Inactive ISWA membership data is stored for the period of 7 years, longer if data is subject to ongoing legal disputes. Active ISWA membership data is maintained as long as the membership is paid/actively renewed by ISWA Member.     

Membership magazine subscription and data sharing 

Certain ISWA memberships include paid subscriptions to receive physical copies of two ISWA-owned magazines: 

Your mailing address will be shared with Sage Publishing and WEKA Industrie Medien GmbH for the sole purpose of providing you with the physical and/or digital copy of your magazine as covered by the paid subscription. 

If you would like to stop receiving the magazine(s), please send an e-mail at iswa(at)iswa.org. 

Marketing-specific data

ISWA collects marketing-specific data (name, surname, e-mail address) to send marketing mailings.  To subscribe to ISWA marketing mailing, including news, partner events, and updates on ISWA’s work, visit this page.

How do we store this data

ISWA marketing-specific data is stored and managed on MailChimp platform, which acts as data processor and operates in agreement with data policies established by ISWA. 

How long do we store this data

ISWA stores the data as long as you remain subscribed to the mailing list. Once you want to stop receiving the e-mails, use the ‘Unsubscribe’ link at the bottom of any ISWA email to remove your email from the list. Your e-mail will be stored in the system for the period of 40 months, after which it will be deleted.  You will not be contacted again, unless you re-subscribe.

Processes-specific data

Processes-specific data is any data necessary to perform or provide service or research outside of the ISWA membership obligations. In case of ISWA, this definition applies to:

• Knowledge Base data for non-members of ISWA

• ISWA Awards submissions

• Event registrations data

Knowledge Base data

Any user can gain access to ISWA Knowledge Base platform after creating a free login via this page. Knowledge Base users can opt-in to receive ISWA marketing mailing. By creating a free account, you might occasionally receive information about your access.

How do we store this data

ISWA Knowledge Base user data for non-members is stored in the same way as ISWA membership data –  on systems managed by an external IT company, which acts as data processor and operates in agreement with data policies established by ISWA. ISWA makes sure that your data is stored and managed in accordance with the EU Data Protection laws and that any third party handling your data implements all technical measures necessary on an ongoing basis to keep your personal data secure. 

How long do we store this data

Active ISWA Knowledge Base user data is stored as long as you remain subscribed to ISWA Knowledge Base. Your data will be stored in the system for the period of 40 months, after which it will be deleted. You can remove your account any time by contacting ISWA at iswa(at)iswa.org.

 

Permissions

The use and reproduction of the contents of the websites is permitted only after obtaining an explicit consent from ISWA. Please e-mail iswa(at)iswa.org if you would like to inquire about use of ISWA content. 

Please check the ownership of each publication to assess the right person you should be contacting to obtain written permissions for reuse.

Please include citations and quotes whenever referencing content accessed via ISWA Knowledge Base. 

ISWA Awards

Every year ISWA collects submissions including personal data (name, surname, address, e-mail address, contact details) for three specific Awards: Publication, Video and Communication. 

How do we store this data

Data collected for ISWA Awards is submitted via email or electronically via ISWA website:

  • Publication Award – email submission with the attached form
  • Communication Award – electronic submission via ISWA website
  • Video Award – electronic submission via ISWA website

Communication and Video Award data is stored on systems managed by an external IT company, which acts as data processor and operates in agreement with data policies established by ISWA. ISWA makes sure that your data is stored and managed in accordance with the EU Data Protection laws and that any third party handling your data implements all technical measures necessary on an ongoing basis to keep your personal data secure. 

How long do we store this data

Personal data collected for the purpose of participating in ISWA Awards is stored until four months from the date of submission deadline. After the grading period is finalized, your data will be removed from ISWA database. Please consult individual Award page for submission deadline details. 

Use of Cookies

ISWA websites use cookies. These are small (text or image) files that are downloaded from your visits to ISWA sites onto your computer and stored locally. They allow ISWA websites and external service providers to store your activities and the number of your visits to the sites. The data that is stored by cookies helps ISWA and external service providers in offering you an even better online experience.  First- or third-party cookies are used on ISWA sites.

Privacy Statement for the Use of Google Analytics

This website uses Google Analytics, a web analytics service provided by Google Inc. ( “Google”). Google Analytics uses “Cookies”, text files that are stored on your computer, to help analyze how users use the website.The information generated by the cookie about your use of this website is usually transmitted to a Google server in the USA and stored there. In case of activation of the IP anonymization on this website your IP address from Google will be within the member states of the European Union or other parties to the Agreement on the European Economic Area. Right to information and objection to the use of personal data and deletion of stored data

You are entitled to request information about the data collected from you by ISWA and about the processed personal data to rectify mistakes. If you wish to have this information, please contact ISWA by sending an e-mail to iswa(at)iswa.org. You will be asked to send a copy of official ID or identify your ISWA Membership number before the request can be fulfilled.

Please note that in accordance with local regulations, ISWA stores membership data for up to 40 months to comply with audits and legal inquiries. The data is stored longer than 40 months in case of being subject to legal actions.

If you do not want ISWA to collect personal information from you, you may revoke your consent at any time without giving reasons. This right can be – with reference to your concern – exercised by sending ISWA an e-mail and requesting data about you to be erased. Please contact ISWA by sending an e-mail to iswa(at)iswa.org.

You are entitled to request the cancellation and complete erasure of your personal data that ISWA has on file. Provided no official reason speaks against the cancellation, ISWA will delete the personal data stored within 14 days. Should there still be litigation pending at the time of your revocation, cancellation is made 14 days after the bilateral contract or resolution of the legal dispute. The revocation/cancellation request needs to be send via e-mail to iswa(at)iswa.org with the inclusion of a copy of official ID and, if available, your ISWA Membership number.

Data portability

At any given time you can request that your data collected by ISWA is transferred to another organization. Please note that ISWA can only provide CSV files.
